Day-of Experience

What to expect on party day at Apex Adventure Park — timelines, check-in process, party host duties, and practical tips for each package.

Arrival & Check-In

Arrive 15 minutes before the scheduled party start time.

Check-in process

  1. Party parent and birthday kid arrive, meet the dedicated party host
  2. Drop off any decorations, cake, outside food, or supplies — the host takes it from there
  3. Guests arrive and check in: waiver verification, wristband distribution, jump sock check
  4. Party host handles all check-in logistics — the party parent doesn't need to manage it
  5. Once all guests are checked in, the party begins at the scheduled start time

What to bring

  • Any outside food, cake, or treats (see the Party FAQ for what's allowed)
  • Sealed water bottles if desired (factory-sealed only)
  • Decorations (hand to the party host for setup)
  • Cooler with ice if bringing perishable items (ice cream cake, etc.)
  • Goodie bags (host can distribute at end of party)
  • Camera (for spectator areas — no phones on the jump floor)

What NOT to bring

  • Alcohol
  • Outside beverages other than sealed water bottles
  • Piñatas, glitter, silly string
  • Tape or adhesive items for walls

Timeline: Basic Package (2 hrs, Sequential)

TimeWhat Happens
-15 minParty parent + birthday kid arrive. Meet party host. Drop off decorations, cake, etc.
-15 to 0 minGuests arrive. Check-in: verify waivers, distribute wristbands, jump socks.
0:00 – 1:00Jump time. All guests on the jump floor. Party host monitors. Observers can watch from spectator area.
1:00Transition. Party host leads everyone from the jump floor to the party room.
1:00 – 2:00Room time. Food served, cake cutting, presents if desired, socializing. Party host assists throughout.
2:00Party ends. Party host handles cleanup. Party parent collects gifts and leftover items.

Key notes for Basic

  • The transition at the 1-hour mark is firm — jump time ends, room time begins
  • Plan food and cake for the room hour; it goes fast
  • If opening presents, start early in the room hour or consider taking gifts home to open later
  • Non-jumping parents can be in the party room during jump time, setting up or waiting

Timeline: Super Package (2 hrs, Concurrent)

TimeWhat Happens
-15 minParty parent + birthday kid arrive. Meet party host. Drop off decorations, cake, etc.
-15 to 0 minGuests arrive. Check-in: verify waivers, distribute wristbands, jump socks.
0:00 – 2:00Jump floor + party room both open. Guests move freely between both spaces. No forced schedule.
~0:45 – 1:15Suggested pizza / food break (party host coordinates, but timing is the parent's call).
~1:15 – 1:45Suggested cake time and group singing.
1:45 – 2:00Last jumping, winding down, goodbyes.
2:00Party ends. Party host handles cleanup.

Key notes for Super

  • The beauty of concurrent is flexibility — the above timeline is a suggestion, not a requirement
  • Some kids will eat early and jump more; some will jump the whole time and eat at the end
  • The party host will suggest gathering for pizza/cake around the midpoint, but it's the parent's call
  • 2 hours of concurrent time is usually plenty for food + jumping + socializing

Timeline: Ultimate Package (3 hrs, Concurrent)

TimeWhat Happens
-15 minParty parent + birthday kid arrive. Meet party host.
-15 to 0 minGuests arrive. Check-in.
0:00 – 2:00Jump floor + party room both open. Free flow between spaces.
~1:00 – 1:30Suggested pizza break.
~1:30 – 2:00Suggested cake and group singing.
2:00Jump time ends. Guests transition to party room for the final hour.
2:00 – 3:00Bonus room hour. Presents, more cake, games, crafts, socializing, relaxed hangout. No rushing.
3:00Party ends. Cleanup handled.

Key notes for Ultimate

  • The 3rd hour is the real differentiator — it's dedicated room time after jumping, perfect for presents and winding down
  • Parents who want a gift-opening moment should plan it for the 2:00–3:00 window
  • The post-jump hour is also great for any planned activities (games, crafts, etc.)
  • Kids will be tired from 2 hours of jumping, so the final hour naturally shifts to a calmer energy

What the Party Host Does

The dedicated party host is your single point of contact on party day. Their responsibilities:

  • Greet the party parent and birthday kid on arrival
  • Manage all guest check-in (waivers, wristbands, socks)
  • Set up the party room, including any customer-provided decorations
  • Monitor the jump floor during the party and ensure safety
  • Serve food and drinks in the party room
  • Cut and serve cake (venue-provided or BYO)
  • Coordinate timing for pizza, cake, and transitions
  • Assist with any needs during the party
  • Distribute goodie bags if provided
  • Handle full cleanup after the party ends

The party parent should not need to manage logistics during the party. The host is there so the parent can enjoy the celebration.

Tipping / Gratuity

Tipping is not accepted at Apex. Gratuity is built into the package price — guests should not offer cash tips to the party host or venue staff.

Gift Opening

Whether to open presents at the party is entirely the parent's choice. Recommendations by package:

  • Basic: Room time is 1 hour, which can feel tight with food + cake + presents. Many Basic parents choose to take gifts home.
  • Super: 2 hours of concurrent time gives some flexibility. Doable if gifts are kept brief.
  • Ultimate: The extra room hour (2:00–3:00) is ideal for present opening. This is the best package for families who want a gift-opening moment.

The party host can collect gifts from guests at check-in and keep them in the party room so nothing gets lost.

Photos & Videos

  • Spectator areas: Photos and videos welcome from spectator/observation areas around the jump floor
  • Jump floor: No phones or cameras on the jump floor itself (safety rule — devices can fly out of hands/pockets)
  • Party room: Photos and videos welcome anytime
  • Group photo tip: Get the group photo early — within the first 30 minutes. By the end, kids are sweaty, tired, and harder to wrangle.

End of Party

  • Party host announces the end of the party
  • Any remaining food, cake, or decorations are packed up for the party parent to take home
  • Gifts are gathered and returned to the party parent
  • Goodie bags distributed to guests if provided
  • The party parent does NOT need to clean the room — the host handles everything
  • Guests exit through the main entrance; parents pick up from the same area they dropped off
